TRACK MY PEPS

Privacy Policy

This Privacy Policy explains how Track My Peps collects, uses, stores and protects information when you use the Track My Peps website and iOS app.

Last updated: 13 September 2026

1. Who we are

Track My Peps provides tools for organising inventory, protocols, schedules and research information. For privacy questions or requests, contact us at support@trackmypeps.co.uk.

2. Information we collect

Depending on how you use Track My Peps, we may process information that you provide directly, including:

  • account information such as your name, email address and username;
  • your account type and account preferences;
  • inventory records, including products, suppliers, quantities, batches, prices and test-report links;
  • protocols, schedules, notes and records of entries you mark as completed or skipped;
  • business records you choose to enter when using reseller features; and
  • information you send to us when requesting support.

We may also process limited technical and security information needed to operate the service, such as device-session information, authentication tokens, login activity and information necessary to maintain the security and reliability of Track My Peps.

3. Information stored on your device

The iOS app stores a secure device authentication token in the iOS Keychain so that you can remain signed in. The app may also create local notifications on your device for schedules you have created. Notification permission is controlled through iOS.

4. How we use your information

We use personal information where necessary to:

  • create, authenticate and maintain your Track My Peps account;
  • provide the inventory, protocol, scheduling and other features you request;
  • save and display information you enter into the service;
  • protect accounts, investigate errors and maintain service security;
  • respond to support requests; and
  • comply with applicable legal obligations.

5. Lawful bases

Where UK data-protection law applies, our primary lawful basis for processing account and service data is that the processing is necessary to provide the service you request. We may also process limited information where necessary for our legitimate interests, including maintaining the security, reliability and proper operation of Track My Peps, provided those interests are not overridden by your rights. Where processing is required by law, we may process information to comply with that legal obligation.

6. Protocol and research information

Track My Peps lets you enter your own protocol, schedule and research-related information. The service is an organisational and calculation tool and does not provide medical advice, diagnosis, treatment recommendations or recommended dosages.

Because information entered into these features could reveal information about you depending on how you use them, you should only enter information that you are comfortable storing in your Track My Peps account.

7. Sharing your information

We do not sell your personal information. Information may be processed by service providers that are necessary to host, secure, maintain or support Track My Peps. We may also disclose information where required by law or where reasonably necessary to protect the rights, security or integrity of the service or its users.

8. International processing

Some service providers may process information outside the United Kingdom. Where applicable, we take appropriate steps to ensure personal information receives protection required by applicable data-protection law.

9. How long we keep information

Account and user-created information is generally retained while your account remains active and for as long as reasonably necessary to provide the service, resolve disputes, maintain security, meet legal obligations and enforce our agreements. Information that is no longer required is deleted or anonymised where reasonably practicable.

10. Security

We use reasonable technical and organisational safeguards designed to protect personal information. Passwords are stored using one-way password hashing. Native app device credentials are stored on the server in hashed form, while the corresponding device token is stored securely in the iOS Keychain. No online service can guarantee absolute security.

11. Your rights

Depending on applicable law and the circumstances, you may have rights relating to your personal information, including rights to request access, correction, deletion, restriction or portability, and to object to certain processing. Where processing is based on consent, you may withdraw that consent.

To exercise a privacy right, email support@trackmypeps.co.uk. We may need to verify your identity before completing a request.

12. Complaints

If you have concerns about how we use your personal information, please contact us first so we can try to resolve them. You may also have the right to complain to the UK Information Commissioner's Office (ICO).

13. Children

Track My Peps is not intended for children. We do not knowingly design the service to collect personal information from children.

14. Cookies and website sessions

The website may use cookies or similar browser storage that are necessary for account authentication, security and maintaining your signed-in session. If optional cookies or analytics are introduced in the future, this policy and any required consent controls will be updated before they are used.

15. Automated decision-making

Track My Peps does not use your personal information to make solely automated decisions that produce legal or similarly significant effects about you.

16. Changes to this policy

We may update this Privacy Policy when the service, our practices or applicable requirements change. The latest version will be published on this page with an updated revision date.
